Refund & Cancellation
Policy

This policy sets out clearly the payment and cancellation terms for all Vedanjana services. Please read this carefully before booking β€” all payments made to Vedanjana are strictly non-refundable unless we cancel your booking.

Ayurvedic consultation fees β€” whether free or paid β€” are non-refundable once scheduled. Please ensure you can attend before confirming your appointment.

01 Advance / Token Payment β€” Strictly Non-Refundable

Important: All advance payments, token amounts and booking deposits paid to secure a retreat place at Vedanjana are strictly non-refundable. This applies unconditionally β€” regardless of the reason for cancellation, the notice given, or the circumstances involved.

When you make a retreat booking, an advance payment of 25% of the total programme fee is required to confirm your place. This amount is collected to cover the physician's pre-programme preparation, reservation of your accommodation and treatments, and the administrative costs of holding your place while declining other guests.

The advance payment is non-refundable in all cases, including but not limited to:

  • Personal cancellation at any point before arrival
  • Change of plans, travel disruptions or visa issues
  • Medical illness (unless covered by travel insurance β€” we recommend all guests obtain comprehensive travel insurance before booking)
  • Family emergencies or bereavement
  • Force majeure events affecting the guest's travel

The balance payment (remaining 75% of programme fee) is due in full on or before arrival. No refund is issued for the balance once paid, except in the specific circumstance described in Section 8 (Vedanjana cancels your booking).

02 Retreat Cancellation Policy

No refunds on retreat payments. All advance payments, token amounts and balance payments made toward a residential retreat are strictly non-refundable. Cancellation by the guest β€” for any reason, at any time β€” does not entitle the guest to any refund of amounts paid.

If you need to cancel your retreat, please notify us in writing at bookings@vedanjanayoga.com as soon as possible. While no refund will be issued, we may at our sole discretion offer a rescheduling option (see Section 3) depending on the circumstances and availability.

How to Cancel

Send Written Notice

Email bookings@vedanjanayoga.com with your booking reference and full name. We acknowledge all cancellation notices within 24 hours on business days.

Cancellation Confirmed

We confirm your cancellation in writing. No refund is processed. If rescheduling is possible, we will discuss available dates at this stage.

Travel Insurance Claim

We strongly recommend that all guests hold comprehensive travel insurance. We are happy to provide documentation (cancellation confirmation, booking summary) to support a travel insurance claim.

03 Rescheduling (Discretionary Goodwill)

While retreat payments are strictly non-refundable, we may β€” at our sole discretion β€” offer a date change as a goodwill gesture where operationally possible. Rescheduling is not a contractual right and is not guaranteed. No rescheduling will be offered for no-shows or requests made with fewer than 21 days' notice.

  • Minimum notice required: Reschedule requests must be received at least 21 days before the original arrival date to be considered.
  • Administration fee: An approved reschedule is subject to a β‚Ή2,500 rescheduling fee.
  • Maximum deferral: If approved, the rescheduled programme must be completed within 12 months of the original booking date. After this, all payments are forfeited.
  • Same programme only: Rescheduling applies to the same programme type and duration as originally booked.
  • Once only: Each booking may be rescheduled a maximum of once. No further rescheduling will be considered.
  • Subject to availability: We cannot guarantee any specific date will be available. If no suitable date exists, the payment remains forfeited.

To request a reschedule, email bookings@vedanjanayoga.com with your booking reference and preferred new dates as early as possible.

04 Early Departure During a Stay

No refunds for early departure. If you choose to leave before the completion of your programme β€” for any reason β€” no refund will be issued for unused programme nights, treatments or accommodation.

All treatments and accommodation costs incurred up to the point of departure are settled in full at the time of leaving. The programme balance (if not already paid) must be settled before departure.

Medical Emergency Departure

You must leave urgently due to a medical emergency, supported by documentation.

No refund is issued. We recommend travel insurance for this situation. We provide full documentation to support any insurance claim.

No-Show / Late Arrival

You do not arrive on the booked date without prior notice, or arrive significantly late.

Full programme fees are forfeited. No rescheduling is offered. Advance payment is not refunded.

Vedanjana Requests Departure

We ask a guest to leave due to breach of programme guidelines or conduct policy.

No refund for remaining nights. All amounts paid are forfeited. Vedanjana's decision is final.

05 Medical Situations & Force Majeure

Medical Emergencies

We understand that serious medical situations β€” sudden hospitalisation, critical illness, or bereavement β€” can prevent attendance. However, our non-refundable policy applies in all such cases. We strongly recommend that every guest purchases comprehensive travel insurance before booking, which typically covers cancellation for medical reasons.

Travel Insurance: We are happy to provide a formal cancellation letter, booking confirmation and medical documentation (if applicable) to support any travel insurance claim. Email bookings@vedanjanayoga.com to request documentation.

Force Majeure β€” Vedanjana Cannot Host

If Vedanjana is unable to host your programme due to events entirely outside our control β€” government-ordered closure, natural disaster, or similar force majeure β€” we will provide a full programme credit valid for 18 months, or a full refund at your option. This is the only scenario in which a refund of the advance payment may be issued.

Force Majeure β€” Guest Cannot Travel

If you are unable to travel due to a government-imposed travel restriction specifically affecting movement between your country and India, we will consider a programme credit on a case-by-case basis. Personal travel disruptions β€” flight cancellations, visa delays, airline strikes β€” are governed by our standard non-refundable policy. Travel insurance is the appropriate protection for these situations.

06 Online Yoga Classes β€” Non-Refundable

All yoga class payments are strictly non-refundable. Once payment is made for any yoga class, membership, workshop or session, no refund or credit will be issued under any circumstances β€” including cancellation, missed sessions, illness, or change of plans.

Drop-In Classes

  • All drop-in class fees are non-refundable once booked.
  • No credit, rescheduling or carry-forward is offered for cancelled or missed drop-in sessions.
  • If you miss a class you have paid for, the session recording is available for 48 hours post-class as a courtesy β€” this does not constitute a substitute entitlement or refund.

Technical Difficulties (Vedanjana's Side)

If a class cannot proceed due to a technical failure entirely on Vedanjana's side β€” such as the teacher's complete loss of connectivity β€” we will offer a complimentary access to the next available session of the same class type as a goodwill gesture. This is not a refund and is at our discretion.

06B Consultations β€” Non-Refundable

Consultation fees are strictly non-refundable. All Ayurvedic consultation fees β€” whether paid or complimentary bookings that have been confirmed β€” are non-refundable and non-transferable once scheduled.

  • Paid consultation fees will not be refunded if you cancel, reschedule without adequate notice, or do not attend.
  • Complimentary consultations cancelled with fewer than 24 hours' notice may result in forfeiture of future complimentary session eligibility.
  • If you need to reschedule a consultation, please notify us at least 24 hours in advance at heal@vedanjanayoga.com. We will attempt to accommodate a new time, though this cannot be guaranteed.
  • Our physician's time is the most limited resource at Vedanjana. Consultation fees reflect the preparation, research and time invested before and during each session β€” none of which is recoverable once committed.

07 Online Yoga Memberships β€” Non-Refundable

All membership fees are strictly non-refundable. No refund is issued for any membership purchase β€” monthly or annual β€” once payment is made.

Monthly Membership (β‚Ή3,500/month)

  • Monthly membership fees are non-refundable once charged.
  • You may cancel future renewals at any time β€” your access continues until the end of the current paid month. No refund of the current period is issued.
  • No partial refunds are given for unused days, unused classes, or periods of non-attendance.
  • To stop future billing, email yoga@vedanjanayoga.com before your next billing date.

Annual Membership (β‚Ή32,000/year)

  • Annual membership fees are entirely non-refundable, with no exceptions.
  • Annual memberships are non-transferable to another person or programme.
  • If you are unable to use your membership for medical reasons, contact us β€” we may at our sole discretion offer a pause of up to 60 days. This is a goodwill gesture, not an entitlement.

08 If Vedanjana Cancels Your Booking

In the rare event that we must cancel or significantly alter your programme, you are entitled to:

A full refund of all amounts paid β€” deposit and balance β€” processed within 5 business days. We will additionally offer to rebook you at a future date at the same rate with no additional charges.

Circumstances under which we may cancel include: closure due to government order, natural disaster, significant staff illness affecting programme delivery, or force majeure events described in Section 5. We will notify you by email and phone as soon as a cancellation decision is made.

We have never cancelled a guest's programme except during the Covid-19 pandemic period (March 2020–February 2022), during which all affected guests were offered full credits which remain honourable to this day.

09 Refund Processing (When Vedanjana Cancels)

Refunds are only issued in the specific circumstance that Vedanjana cancels your retreat booking (see Section 8). In this case:

  • Original payment method: Refunds are returned to the card, bank account or UPI method used at the time of booking.
  • Processing time: 5–7 business days for Indian cards and bank transfers. 7–14 business days for international bank transfers.
  • Currency: Refunds are issued in INR. Exchange rate fluctuations are not Vedanjana's responsibility.
  • Gateway fees: Payment gateway fees (Razorpay, typically 2–3%) deducted at original payment are non-recoverable and are excluded from the refund amount.

No refunds are processed for any other circumstance. Please ensure you have read and understood this policy fully before making any payment to Vedanjana.

If you believe a refund has been incorrectly calculated or denied, please contact us at:

We aim to resolve all refund disputes within 5 business days of receiving your complaint. If we cannot reach a satisfactory resolution, disputes are subject to the jurisdiction of the courts of Uttarakhand, India.

Our commitment: We are a small, family-run retreat and we genuinely care about every guest's experience. If something has gone wrong, please speak to us directly β€” we would much rather find a fair human solution than resolve a dispute through formal channels.
